Quotes and estimates: how to price custom jobs so AI assistants can share them

A customer asks an AI assistant what a custom job might cost. A clear estimate gives them something to compare, while a written quote defines the price for their particular job. Here is how to explain both, set realistic expectations and keep unusual requests under review.

Quotes and estimates help service businesses explain the cost of custom work. When a customer asks an AI assistant “how much does it cost to…”, a published range with clear conditions gives it useful information to share. “Call for a quote” leaves that question unanswered on the page. An assistant might suggest contacting you, seek another source or show a competitor’s published price. A clear estimate helps customers compare, but does not guarantee a recommendation or a sale.

Imagine a house painting company whose page says “Free estimates. Call us today.” Another explains the work covered, a typical range and how to arrange a visit. The second page gives a homeowner more to compare before calling. For illustration only, it might say “Three-bedroom interiors, walls only, typically USD $2,800 to $4,200, depending on ceiling height and repairs; final quote after a visit.” All businesses, amounts and turnaround times in this guide’s examples are hypothetical, not market rates, customer results or live Nexez offers.

This guide explains the difference between an estimate and a quote, how to build a range from your own costs and recent work, what to include in a written quote and how to configure Nexez offers so requests that need your judgement wait for review.

Why can “call for a quote” make comparison harder?#

A customer cannot compare the cost from that page alone. Some supported AI services can call businesses: Google describes AI calling for pricing and availability. Other requests may rely on pages, listings or connected tools. Our guide to AI calls to your business covers the phone channel. Publishing clear terms helps whichever route the customer uses.

In our review of 10,777 business websites, the scanner detected a visible price on 21.7% to 23.0% of the examined pages across three separately reported groups. Those figures describe the sampled pages, not a national average, assistant recommendations or measured lost sales. A clear range can help customers assess budget fit, but enquiry quality still depends on the job, the customer and how well you explain the scope.

What is the difference between an estimate and a quote?#

People use the words loosely, but it helps to keep three kinds of price separate:

Kind of priceWhat it meansWhen to use itPainter example
Fixed priceA set price for a defined scope and stated conditionsStandard work you can price in advancePaint one standard bedroom, walls only: $450
EstimateYour best guess, as a range or starting price, before you see the jobWork that varies, but follows a patternMost three-bedroom interiors: $2,800 to $4,200
QuoteA proposed firm price for a specific scope and stated termsOnce you have enough detail to price the work$3,650 for this house, valid for 30 days

An assistant can relay published prices and estimates. Software can also produce a firm price when an authorized quoting system has the required details and pricing rules. Work that cannot be priced reliably from those rules should wait for your assessment. State which kind of price the customer is seeing and what confirms it. Our guide to pricing for AI agents covers keeping prices consistent wherever they appear.

How do you give a price range without underpricing?#

Customers may anchor on the lowest number even when you explain a range. Reduce that risk by describing what the low end covers, what costs extra and when a final quote is needed. Build the range from comparable work and current costs so it remains realistic for your business:

  1. Review recent comparable jobs, for example your last 20, and record the scope and amount charged. A small sample is a starting point, not a guarantee of future costs.
  2. Check today’s labor, materials, overhead and margin. Separate unusual jobs and explain why they differ instead of simply discarding the highest and lowest prices.
  3. List the three or four things that pushed jobs to the top of the range, such as size, condition, materials or access.
  4. Write it as one sentence: “Most [jobs] cost [low] to [high], depending on [factors].”
  5. Add a next step you can deliver. Hypothetical examples: “Free in-home quote within three days,” or “Book a USD $75 inspection, credited to the job.” State currency, applicable fees and whether tax is included.

These hypothetical examples show ways to describe pricing, not recommended rates. All amounts below are in US dollars; a real offer should also state applicable tax and fees:

BusinessEstimate customers can seeWhat changes the priceWhen a firm quote is needed
House painterThree-bedroom interior, walls only, $2,800 to $4,200Ceiling height, wall repairs, trim and color changesAfter a free in-home visit
Pest control companyFirst visit and inspection $150. Quarterly plans from $45 a monthType of pest, home size, how bad it isFor termite or wildlife work, after the inspection
Catering companyBuffet catering from $28 a person, 30-guest minimumMenu, service staff, rentals and travelAfter a tasting or menu call
Translation service (remote)From $0.14 a word, certified translations from $35 a pageLanguage pair, subject, deadline and certificationFor long or technical documents, after a sample review

Use a starting price only when it describes a real option

Explain exactly what the starting price buys and what raises it. For example only: “Interior painting from USD $450 for one standard room, walls only. Tall ceilings and repairs cost extra.” If you cannot give a reliable range or starting price, explain the assessment process, any assessment fee and what information you need to quote.

What should every written quote include?#

Once you have assessed the job, a clear written quote can reduce misunderstandings and provide a shared record. It cannot prevent every dispute. It also gives the customer something to compare with your published estimate. Include:

  • What is included, in plain words: which rooms, how many coats, which surfaces.
  • What is not included, so nothing is assumed: ceilings, trim, moving furniture.
  • The total price, currency, taxes and fees, and an explanation if it falls outside your published range.
  • How long the quote is good for, such as 30 days.
  • When payment is due, and any deposit.
  • How scope changes and extra work will be priced and agreed before proceeding.
  • How to accept it, and the next available start date.

For a remote business like the translation service, the same list applies: the documents covered, the word count, whether certification is included, the delivery date and the time zone of that date.

Which quote requests should wait for you?#

Not every request needs a visit. Decide which can move forward within a defined scope and which need your assessment. Nexez supports rules that accept a request, send it for review or decline it. The following are hypothetical policies: configure the corresponding buyer questions, supported rules and availability checks, then test them. A written description alone does not create an automatic check.

House painterBook a free in-home quote visitA whole-house exterior, or an older home that may have lead paintCommercial buildings, which the company doesn’t paint

If you get a lot of requests for work you never take, our guide on how to stop AI assistants booking jobs you don’t take helps you write those limits down.

How Nexez turns your estimates into clear offers#

Nexez can calculate configured offer prices from a base amount and seller-defined adjustments for choices or quantities. You can build offers from website information or a catalog file, with supported integrations subject to their connection and plan requirements. Review imported scope, prices and links before publishing. An estimated range in prose is not a complete quoting rule.

  • Pricing and choices: configure a base price and adjustments for selected extras or quantity. For the hypothetical painter, that could mean a defined room price with separate ceiling and trim options.
  • Buyer questions: require the details the offer needs, such as room count or word count. Connect price-affecting answers to pricing rules; asking a question alone does not calculate its cost.
  • Sale rules: configure supported acceptance, review and decline conditions. Route work you cannot price from those conditions to your team.
  • Order records: recorded configuration and pricing can help your team prepare and check a written quote. Add the scope, expiry and change terms the job requires.
  • Agent Simulator: try a realistic customer request and inspect the interpreted offer and missing information. A simulation is a preview, not a confirmed quote, reserved appointment or guarantee about another assistant’s response.

Nexez’s configured pricing and transaction checks use the seller’s rules, but they do not control everything an external assistant says. An assistant can still misstate a price or promise. Treat the validated quote or checkout record, including any required seller approval, as the reference for what has actually been accepted. Check your setup and customer-facing output before relying on it.

What to do this week#

  1. Pick a common custom job and review recent comparable prices alongside today’s costs.
  2. Write a one-sentence estimate: “Most [jobs] cost [low] to [high], depending on [factors].”
  3. Replace “call for a quote” on that service page with the estimate and a clear next step.
  4. Run the free Nexez scan for detectable pricing and access gaps, then check the published page and a few real assistant answers.
  5. Set up and test the Nexez offer’s base price, price-changing choices and supported review rules. Keep work that cannot be priced reliably behind a quote request.

Frequently asked questions

What is the difference between a quote and an estimate?

In this guide, an estimate is an approximate price based on known details, often expressed as a range. A quote proposes a firm price for a defined scope and stated terms. Make clear what is included, how long it is valid and what happens if the scope changes.

Should I put prices on my website if every job is different?

Publish a range or genuine starting price when you can support it with clear scope and current costs. If you cannot, explain the quote process and any assessment fee. In Nexez, configured offers can use a base price and defined adjustments; a broad estimate still needs a clear path to a final quote.

How do I write an estimate for a service job?

Review comparable jobs and current costs, describe the scope and list what changes the price. A hypothetical example is “Three-bedroom interiors, walls only, typically USD $2,800 to $4,200, depending on ceiling height and repairs; final quote after a visit.” Use your own figures and state tax and fee treatment.

How long should a quote be valid?

Choose a period you can honor based on supplier prices, availability and the job. Fourteen or thirty days are examples, not a universal standard. Write the expiry date and explain whether the customer needs a fresh quote after it passes.

Can AI assistants give customers a quote for my business?

They can relay your published prices or request a quote through supported tools. A firm automated price needs an authorized system with enough information and defined pricing rules. Configure Nexez review conditions for work that needs your assessment, and verify the accepted record rather than relying only on an assistant’s wording.

Will publishing a price range make customers expect the lowest price?

Some customers may still expect the low end. Explain what it covers, what raises the price and when you will confirm the final amount. Clear examples can reduce misunderstandings, but do not eliminate them. Review enquiries and adjust wording if customers repeatedly misread the range.
